At AAPCP Tech Week, ProCARE co-founder Darius Hodge and William Davison from Frontier Dermatology tackled a critical industry challenge in their webinar: why do healthcare technology implementations succeed or fail?
This article is a summary of the key takeaways from the presentation.
Key Takeaways for Successful HealthTech Implementations
The tech week presentation revealed that many compensation professionals still rely on Excel spreadsheets and ad-hoc processes, creating a “bootstrap mentality” that prevents scalable growth and real-time strategic decision-making.
The solution, they argued, lies in three fundamental pillars:
- data centralization that provides a single source of truth for all stakeholders
- intuitive adoption through streamlined reporting tools accessible even to non-experts
- structured project management with dedicated resources and clear accountability through weekly sprint reports

Another key element to implementation success – a variation of the data centralization – is ensuring you’re getting the right data into the system.
If you put bad data in you get bad results.
When we’re conducting the implementation process we schedule dedicated time to ensure we get the data right – that we have all the right data points and possibly even more data points than we may need as they could be related to reporting outside of calculations.
To get here, you really need to work with a partner that can help you ask the right questions and capture the right requirements to translate that into design.

“It was important that we worked backwards from the end result we needed to understand what it would take to get there,” shared William, “We had dedicated time to discuss what makes up all of that data, how it is created and really peel back these various layers. This process also helped bring to light some of our problem areas that were leading to inconsistencies and confusion and adapt those methods.”
The most valuable insight from the session focused on what ProCARE identified as the biggest implementation hurdle: internal adoption and communication.
While vendors typically deliver the technology, they rarely take responsibility for helping clients communicate the “why” and “how” of new systems to end users. This gap creates significant risk, as poor internal messaging leads to low provider adoption or active resistance.
ProCARE’s approach addresses this directly by providing clients with implementation specialists and internal communication toolkits, making stakeholder engagement a core metric of project success rather than an afterthought.
The results speak for themselves. Adrianna Zell, Healthcare Operations Project Manager at Frontier Dermatology, praised the “excellent implementation experience” and emphasized how the platform’s user-friendly dashboards make it accessible even to non-compensation experts.
Similarly, Darius highlighted WellSpan Health’s recent go-live, where providers are increasingly taking ownership of the system and demonstrating growing self-sufficiency week over week.
The message is clear: successful healthcare tech implementation is about data granularity, intuitive design, and a strategic partnership that extends beyond the initial demo.
